Who we are

Flat Roofs Newcastle (referred to as "we", "us" or "our") operates this website at flatroofsnewcastle.co.uk. We're a flat roofing contractor based in Newcastle upon Tyne. For any privacy-related question you can reach us at info@flatroofsnewcastle.co.uk or by phone on 0330 223 7665.

What information we collect, and why

We only collect personal data when you actively give it to us. In practice that means one of two things:

• When you fill in the contact form or email us: your name, email address, phone number, postcode and the details of the roofing work you're enquiring about. We use that information solely to reply to your enquiry and, if it leads to a job, to deliver and invoice for the work.
• When you call us: we make a written note of your name, phone number and the work you're asking about. We don't record phone calls.

What we don't do

We don't run any marketing or advertising tracking on this website. There are no third-party advertising cookies, no Facebook Pixel, no remarketing tags. We don't sell or share your data with anyone for marketing purposes. We don't add you to a newsletter. We don't pass your details to "partner firms".

How long we keep your data

If your enquiry doesn't lead to a job, we delete it within twelve months. If it does, we keep the job records (your contact details, the quote, the invoice, photographs of completed work) for seven years — that's the period UK contractors are required to retain financial records under HMRC rules, and it also covers any warranty claims against our workmanship guarantee.

Cookies

This site uses no tracking cookies. The only cookies the site might set are strictly-necessary ones for the contact form (anti-spam) — these expire when you close your browser. We don't have a cookie banner because we don't have anything to consent to.

Analytics

We may use server-side log analytics to understand which pages are visited and which are not. This data is aggregated and contains no personally identifiable information — just IP-anonymised page request counts. We do not use Google Analytics or any other client-side tracking product.

Who else sees your data

Three categories of organisation potentially handle your data on our behalf:

• Our hosting provider (20i, based in the UK) hosts the website and the email inbox. They are bound by their own GDPR-compliant data processing terms.
• HMRC and our accountants see invoice records as required by UK tax law.
• Our public liability insurer may see your details if a claim is ever made against work we did at your property.

That's the full list. We don't use third-party CRM or marketing automation tools.

Your rights under UK GDPR

You have the right to:

• Ask us what data we hold about you (Subject Access Request);
• Ask us to correct any inaccurate data;
• Ask us to delete your data, subject to our legal retention obligations (we can delete enquiry data immediately, but we have to keep invoice records for seven years);
• Object to any processing you think isn't lawful;
• Complain to the Information Commissioner's Office (ico.org.uk).

Security

The website is served over HTTPS. The contact form submits over an encrypted connection and lands in a password-protected mailbox. Customer records are stored in a password-protected office system; paper files are kept in a locked filing cabinet at our office.

Changes to this notice

If we change anything material about how we handle data, we'll update this page and update the "last updated" date at the top. We don't email customers about privacy policy changes — there's nothing to opt into.
